When to send this message

A silent client is not a lost client: the debit order still runs, but they have not answered a message in six or twelve months, hold a single policy and never call. Meta treats re-engagement as marketing, so you need an approved marketing template and a valid marketing consent. Clients flagged marketing_opt_out are excluded whatever your reason; for them, wait for a servicing moment (renewal, document) or pick up the phone. Send mid-week in working hours, in small batches, and read the replies before the next batch. Give a reason to reply that benefits the client: check cover still matches their circumstances, update contact details, remind them how to lodge a claim. Writing tips

  • Give the client a useful reason to answer (contact details, cover check, claims procedure); "just checking in" with no purpose gets few replies.
  • Target with scores rather than dates: in ORIS a segment of "low engagement score and renewal within 90 days" beats a random extract of old clients.
  • Size the batch to what the team can handle within 24 hours: every reply opens a conversation window you need to use.
  • Write an A and a B variant (plain versus buttons) and compare reply rates on a hundred sends before rolling out.
  • Record the reason for the silence when the client gives it (moved, new number, unhappy): it is worth more than the reply itself.

Common mistakes

  • Opening with "You haven't replied to my messages": a reproach closes the conversation.
  • Slipping a sales offer into the same message; re-engagement should listen first.
  • Sending on a Saturday evening or during a public holiday when nobody wants to discuss insurance.
  • Resending the same template to non-responders two weeks later: switch to a call or wait for a servicing reason.

Frequently asked questions

Why can I not send this as a utility template?

Because it is not tied to a specific transaction: no renewal, no document, no claim. Meta classifies this kind of outreach as marketing; pushing it through as utility risks rejection or reclassification of the template.

How long a silence justifies a re-engagement message?

There is no universal rule; most brokerages use six to twelve months without an exchange or a read message, crossed with the renewal date. The engagement score in ORIS is a finer indicator than tenure alone.

What do I do when the client just replies "ok"?

Use the 24-hour window: ask a concrete question (contact details, change of circumstances) or offer a ten-minute call at two specific times. An "ok" with no follow-through is not a re-engagement.

Could a client complain about this message?

Not if they consented to marketing messages and can opt out with one word. If they had declined marketing, the message should not have gone out; check the marketing opt-out flag before every campaign.
