Following up a quote that got no reply on WhatsApp, without nagging

WhatsApp message template to follow up a prospect who has not answered an insurance quote: timing, tone, closed question, marketing opt-in and Meta template rules.

When to send this message

Two to four working days after the quote went out, if the prospect has not replied. Sooner feels like pressure; after a week the quote is forgotten or placed elsewhere. A second follow-up can go a few days before the validity date, then you stop.

The prospect has not messaged you in over 24 hours, so this is business-initiated and needs a Meta-approved template. Because its purpose is to close a sale, Meta categorises it as marketing, however restrained the wording. That means you need marketing consent, not just agreement to be contacted on WhatsApp: in South Africa, section 69 of POPIA requires consent for electronic direct marketing to someone who is not yet a customer; in the UK, PECR applies to electronic marketing to individuals. A prospect who asked for the quote and ticked a "you may follow up" box is within the rules.

Writing tips

  • Restate in one line what the quote contained (policy, amount, date): the prospect has received plenty of messages since and does not remember the detail.
  • Ask a question that allows a "no": "have you gone with another option?" gets more replies than "are you ready to sign?", and a clear no frees your time.
  • Two follow-ups at most, days apart; the second can lean on the validity date, which is a fact rather than a sales device.
  • Send mid-morning or early afternoon; never at the weekend for an individual, never on Monday morning for a business.
  • Offer an explicit exit ("a simple no thanks is all I need"): it is the message with the best reply rate and it keeps complaints away.

Common mistakes

  • Submitting the follow-up as a utility template to save on marketing pricing; Meta recategorises or rejects it, and your quality rating can suffer.
  • Following up a prospect who never gave marketing consent on the grounds that they asked for a quote; a quote request is not consent to be marketed to.
  • Inventing urgency ("rates go up tomorrow") that the insurer has not announced.
  • Sending three or four follow-ups; after the second, every extra message costs more in reputation than it earns in signed policies.

Frequently asked questions

Does this message need a Meta-approved template?

Yes, unless the prospect has messaged you within the last 24 hours. And that template sits in the marketing category, because its purpose is to close a sale, regardless of tone.

Can it be sent without opt-in?

No. You need the WhatsApp opt-in Meta requires and, because it is direct marketing, consent that satisfies POPIA section 69 or PECR for the market you work in. Record the date and form of that consent on the prospect file.

How long after the quote should the follow-up go?

Two to four working days depending on the line: shorter for a car the client needs to insure before collection, longer for a commercial or life policy that goes through a committee.

What if the prospect replies "no thanks"?

Thank them, close the file and mark the quote as declined; do not follow up again on the same subject. A check-in a year later, ahead of their renewal with the competitor, is a separate campaign with its own consent.
