A policy that renews automatically for five years without a conversation is a policy that no longer fits: the client has bought a new bakkie, extended the house, taken on staff or had a child, and the cover is still the one written on day one. It is also a fragile policy, because the only annual contact is the insurer's renewal notice, often carrying a premium increase, and the competitor who calls at that moment has an open goal.

The policy anniversary is the natural moment to take back the initiative: a date known in advance, a legitimate reason to write, and an advice conversation that strengthens the relationship before renewal. On WhatsApp the review does not require an hour-long meeting: an opening message with three questions, a few minutes of exchange, then a quote or a written confirmation.

This guide walks through the journey, from the anniversary calendar to the record of advice, for a brokerage handling motor, household, medical or commercial policies in South Africa, Kenya, Nigeria, the UK or Ireland. It builds in the WhatsApp rules (approved template for the first message, the 24-hour window afterwards) and the advice and record-keeping duties that apply to intermediaries.

The journey, step by step

  1. Pull the anniversary list 45 to 60 days ahead. Every week or month, the brokerage extracts from its broker management system the policies whose anniversary falls in six to eight weeks. That lead time allows for advice, an insurer quote and, where needed, the notice period the policy requires before a change at renewal. It also lands before the insurer's renewal notice, which in South Africa must reach the policyholder ahead of renewal under the Policyholder Protection Rules, and which in the UK carries last year's premium for comparison. De-duplicate the list by client, not by policy, so nobody receives three messages.
  2. Prepare a five-line review sheet per client. Before sending anything, the consultant rereads the file: current cover and sums insured, premium, claims in the past year, excess, and what the brokerage already knows about changes (a move, a replacement vehicle, a new business activity). They note two hypotheses: what deserves to go up (contents value, professional indemnity limit) and what could come down (duplicated cover, an unused extension). A prepared review fits in three targeted questions; an improvised one collapses into "all good?", which tells you nothing.
  3. Open with a template and three questions. The client has not messaged for months, so the first message must be a Meta-approved template such as the policy anniversary template. It names the policy and its date and asks the situation questions as buttons ("Nothing has changed", "Things have changed", "Call me"). As long as the message sticks to the existing policy, it qualifies as a utility template. As soon as it promotes an additional product, it becomes marketing: a marketing opt-in is required and anyone who has objected under POPIA or PECR must be excluded.
  4. Run the advice conversation inside the 24-hour window. The client's reply opens the window: the consultant continues in free text, one question at a time, with no twenty-line questionnaire. They gather what has changed, restate the need and explain in two sentences why a given cover is or is not suitable. This is the substance of the FAIS General Code of Conduct's suitability requirement in South Africa, of the Consumer Duty's "good outcomes" in the UK and of the IDD demands-and-needs test in Ireland. The WhatsApp thread is the contemporaneous record, provided it lives on the brokerage's number and is retained.
  5. Propose, quote and confirm in writing. If the review calls for a change, the consultant obtains a quote from the insurer or uses the binder authority, then sends the proposal in the thread: cover, sum insured, new premium with the currency, effective date. The client replies OK or asks questions. Contractual confirmation follows the usual route: endorsement issued, updated schedule sent on a durable medium, and a record of advice filed, not a bare "ok" on WhatsApp. If nothing changes, say so in writing too: "review done, policy unchanged", with the date, which is far better than silence.
  6. Close, record and schedule the next review. The conversation ends with a closing message summarising what was done and naming the next touchpoint ("we will review again in a year, or sooner if your situation changes"). The consultant updates the client record: changes declared, cover adjusted, any declined recommendation and the reason. That last item matters: a client who turned down recommended cover must have been told in writing, and the brokerage must be able to show it if an uninsured loss occurs the following year.

Pitfalls to avoid

  • Sending the anniversary message at the same time as the insurer's renewal notice: the client reads two messages, often a premium increase, and the brokerage loses the initiative.
  • Turning the review into a twenty-question form: on WhatsApp three targeted questions produce more useful answers than a complete fact-find.
  • Only ever proposing additions: a credible review also flags what can be reduced, otherwise the client reads it as a sales exercise.
  • Treating a WhatsApp "OK" as the contractual confirmation without an endorsement on a durable medium: the record of advice and consent must stand up to scrutiny.
  • Not recording a declined recommendation: if the uninsured loss happens, it is the brokerage's liability that is examined.
  • Promoting an extra product inside the opening template: it becomes a marketing message and can no longer go to clients who have opted out.

Frequently asked questions

How far ahead of the anniversary should I write to the client?

Six to eight weeks before the date, leaving time to advise, obtain an insurer quote and respect any notice period in the policy if the client wants to change. Earlier and the client forgets; later and the brokerage runs out of time.

Is the anniversary message a marketing message?

Not while it sticks to the existing policy: the date and the situation questions. If it promotes an additional product or an offer, Meta classifies it as marketing and the brokerage needs a marketing opt-in and must exclude anyone who has objected.

What if the client does not reply to the template?

One chaser, one to two weeks later, then a phone call if the policy warrants it. Silence is not a refusal of advice, but it is recorded on the file: the brokerage offered the review, the client did not take it up.

Is the WhatsApp thread enough as a record of advice?

It is a useful, time-stamped record if kept on the brokerage number. The formal recommendation and the updated schedule must still be provided on a durable medium, as the FAIS General Code, the IDD and the FCA handbook require.
