When to send this message

Four to six weeks before the renewal date, as soon as the insurer has confirmed the renewal terms (new premium, any change to cover). That lead time lets the client ask questions, shop around and, if they wish, give notice within the period set by the policy. In the UK, FCA rules on renewal disclosure apply to the formal renewal notice; this WhatsApp message accompanies that notice, it does not replace it. In South Africa, the Policyholder Protection Rules require that changes to premium or terms be communicated clearly and in advance.

It is business-initiated and outside the 24-hour window: a Meta-approved utility template tied to an existing policy. It informs; it does not sell. If you want to propose extra cover at the same time, do it in a second, marketing-categorised message with the matching consent.

Writing tips

  • State the new premium and, if it changed, the reason in one line (claims, index, rating change): a bare figure with no explanation triggers a call, not a reply.
  • Attach the renewal notice as a PDF and point to the cancellation notice period inside it; it protects both the client and the brokerage.
  • Ask one open question about the client's situation (new car, move, more staff): it is the best source of opportunities all year, without selling anything.
  • Send on a weekday morning at least four weeks before expiry; a renewal announced five days out leaves no room for anything.
  • Keep the notice (utility) strictly separate from any add-on proposal (marketing, second message, its own consent).

Common mistakes

  • Announcing an "unchanged" premium without checking the insurer's renewal terms, then having to correct it.
  • Presenting the WhatsApp message as the formal renewal notice; it accompanies the notice, it does not replace it.
  • Mixing the renewal notice and an offer ("why not add legal expenses cover?") in the same template.
  • Sending the notice too late for the client to exercise their cancellation rights, which feeds complaints.

Frequently asked questions

Does this message need a Meta-approved template?

Yes. Sent several weeks before expiry, it almost always goes outside the 24-hour window. One utility template approved with the policy, amount and date variables serves the whole book.

Can it be sent without opt-in?

No. Meta requires opt-in for every business-initiated message. As a service message, the WhatsApp opt-in is enough; marketing consent only becomes necessary if you add an offer.

Does the WhatsApp message count as the renewal notice?

No. The formal renewal notice is the insurer's or the brokerage's regulated disclosure; the WhatsApp message relays it, attaches the PDF and points to the deadline, but does not stand in for it.

What if the client replies that they want to cancel?

Reply inside the 24-hour window, offer a call to understand why and, if it is about price, approach the market. If the decision is final, handle the cancellation properly within the policy terms; a client treated well on the way out comes back.
