WhatsApp Business API (Cloud API)

The WhatsApp Business Platform (Cloud API) explained for brokers: how it differs from the app, shared number, templates, webhooks, costs and access requirements.

Definition

The WhatsApp Business API, now branded WhatsApp Business Platform and delivered through Meta's hosted Cloud API, is the interface that lets a business connect a WhatsApp number to software rather than to a handset. It provides approved template sending, inbound messages through webhooks, delivery and read statuses, buttons and interactive messages, and multiple users on one number. It has no user interface of its own: it is used through a CRM or messaging platform, or a custom integration. It differs from the free WhatsApp Business app, which is limited to a handful of devices and offers no automation, and from the former On-Premises API, which Meta has retired in favour of the Cloud API.

What you need to know

The decision for a brokerage is organisational rather than technical: at what size and volume does the WhatsApp Business app stop being enough. The usual signs are a book that several account handlers must service, premium reminders sent by the hundred each month, the need to keep conversations when a handler leaves, and the obligation to retrieve an exchange for a client file, a complaint or a regulator's visit.

With the API, the number belongs to the firm and sits in a WhatsApp Business Account attached to its Meta Business portfolio. Conversations land in the chosen tool, where they can be assigned, annotated and tied to the client record. Reminders go out as templates within Meta's messaging limits, and replies come back classified. In return, Meta charges for each business-initiated message according to its category, the business must be verified through its Meta portfolio, and templates must be approved before use.

ORIS is built on the Cloud API: number connection through Embedded Signup, a shared inbox, campaigns from approved templates, AI classification of replies, suggested drafts and rule-based auto-reply with human escalation. The site's comparison of the app and the API sets out the cases where the app remains the right choice, and the South African setup guide walks through a first deployment.

Concrete example

A six-person brokerage in Accra ran WhatsApp Business on the principal's phone, forwarding client requests to handlers as screenshots. With 1,500 policies and renewals every week, it moved to the API: the same number was kept, each handler logs in with their own account, reminders go out as templates and policy documents are sent as PDFs straight from the client record.
