When to send this message

A WhatsApp conversation does not end on its own: without a closing message the client does not know whether their request is being handled, and the adviser keeps an open thread in the shared inbox. This message goes inside the 24-hour window, in reply to the last exchange; it is a free-form service message, no template.

It fits in three lines: what was done, what happens next and when, how to reach the brokerage. It is also the place to state any outstanding document or a date to remember. One special case: the client has not answered your last question and the window is about to close. Send a provisional closing message that sums up where the file stands and what is missing, so you do not have to re-explain everything in a template later. For clients in South Africa on debit order, confirm the collection date and amount in the close: it is what they will look for when the bank statement arrives.

Writing tips

  • Give a date or a timeframe for the next step, even approximate: it is what prevents the "any news?" three days later.
  • List what is still outstanding in one line: the client is more likely to send it if it sits in the last message rather than the sixth.
  • Remind them of the urgent channel: WhatsApp is not read at night, and a client with a claim needs to know.
  • Sign every close, even in a thread already signed: in a shared inbox the client wants to know who owns their file.

Common mistakes

  • Ending without a date or next step ("I'll come back to you"): the conversation stays open in the client's mind.
  • Closing while a question from the client is still unanswered in the thread.
  • Adding a sales pitch at the moment of saying goodbye.
  • Leaving an emoji or an over-familiar sign-off in a close addressed to a company.

Frequently asked questions

Do I really need a closing message for every conversation?

Yes whenever a file is involved: policy, claim, payment, document. For a simple "thanks" from the client, a short acknowledgement is enough. The useful rule: the last message in the thread should say where the file stands.

What happens if the client replies after the close?

The 24-hour window reopens and the conversation carries on normally. In ORIS the reply is analysed and, depending on its content, reopens the file or creates a notification for the adviser.

Can I close with an automatic reply?

An auto-reply rule can acknowledge receipt, but the recap commits the brokerage: check it. ORIS only auto-replies when the detected sentiment allows and drafts otherwise; closing a file remains the adviser's decision.
